Flexible Chart of Account (COA)

ACTUARY Accounting Software provides hierarchical chart of account which can go up to five levels. First level is fixed and is Capital, Assets, Liability, Income, or Expense. Other four levels are flexible and user can design the chart of account (COA) according to business requirements.

Multi-Company Accounting System

ACTUARY Accounting Software provides multi-company capabilities. All financial reports including trial balance, balance sheet, and income statement can be generated for individual companies separately. Also it is possible to consolidate and generate these reports with data of all the companies merged. Reports for individual companies have their respective titles on reports while consolidated reports have title of the defined head office or corporate office.

Automated Year End closing process

ACTUARY Accounting Software makes it very easy to close a financial year. If required, any closed financial year can be opened by administrator. At year end the financial year is closed and all balance sheet entries are automatically moved to the opening accounts of next year and yearend profit/loss is automatically calculated by the system and posted in respective account. Also any ledger can be viewed across multiple years without any problem.

Easy to use voucher entry screen

Voucher entry and view screen in ACTUARY General Ledger is very easy to use and good user interface allow quick entry of vouchers. Easy navigation structure facilitates the user to view the previously entered vouchers with all details.

Posting and Search of Vouchers

ACTUARY Accounting Software provides a very quick way to find required vouchers. Same screen is used to post or un-post the selected vouchers. Vouchers can be selected on the basis of flexible criteria. Also all voucher selected by the user can be loaded on the voucher screen, for view or editing, through a single click.

Temporary Voucher Facility for petty cash management

ACTUARY Accounting Software accounting software has a useful feature of temporary voucher. This feature helps in elimination of manual or spread sheet work to manage the petty cash. User can enter the day to day entries in the temporary voucher. Unlike the standard voucher, this entry screen allows the duplicate entries of any GL account. For example, the entry against “Petrol Expense” can be done multiple times. Later, this voucher can be converted to a standard voucher and all repeated account codes are automatically merged and consolidated.

Customer receipts with receivable ageing

ACTUARY accounting software gives the facility to manage customer receipts and receivable ageing. The receivables are divided into different calendar periods (current, 60 days, 90 days etc.). This ageing is based on Sales Vouchers (SV).

Vendor Payments with payable ageing

ACTUARY accounting software gives the facility to manage vendor payments and payable ageing. The payments are divided into different calendar periods (current, 60 days, 90 days etc.). This ageing is based on payable vouchers.

Bank Reconciliation

ACTUARY Accounting Software allows the user to keep the bank ledgers reconciled and up to date. When the cheques are credited and presented then those are also marked as “Credited” and “Presented” in the system. This screen can be used to see the bank position on any given date along with the pending cheques on that particular date.

Generation of Balance Sheet

ACTUARY Accounting Software is secure and gives access to only those users who have got privileges and rights to use system. User can not only be given rights to view or open a particular screen but the system also gives flexibility to control the actions which user can perform on a screen. For example, the user can be allowed to enter a voucher but he may be restricted to change or post an already entered voucher.

User Access Security Management

Users are made part of a group and get the rights associated with that group. Only authorized users can operate it and view various screen, and all user actions are logged and screen wise actions can be viewed by the admin.

Barcode Enabled Software

ACTUARY RMS Software supports barcode readers and hand held scanners throughout the entire retail cycle. This ensures the integrity of data and reduces the chances of manual errors. Manual entry is also possible.

Nested Barcodes

Multiple barcodes can be linked to one barcode with alternate barcode features. Each slave barcode can represent different packaging and pricing for the master barcode. Invoice shows both codes & stock is managed for the master barcode.

Multi-Currency Functionality

Multi-currency facility in ACTUARY RMS Software enables the retailers to extend their retail operations in various countries with different operating currencies. Prices in different currencies can be configured for each shop, and prices printed on barcodes.

Communication Module

Reports schedule can be configured. Based on the schedule, reports are emailed automatically to system users. System generated SMS can also be configured customers, suppliers and for different activities and transaction.

Product Assembly Creation

Define product assemblies and its recipe or BOM. Assemblies can be automatically created based on sales quantities and thus raw materials consumption is recorded by the system. User can assemble/disassemble assemblies.

Invoice Generation and Point of Sales

Customizable POS interface to suit different business rules and requirements. Generate invoices of sales, exchanges, returns to customers, and use multiple Point of Sale terminals at any retail outlet.

Touch Screen Facility for POS

ACTUARY RMS Software provides touch screen that can be switched ON or OFF for each POS. All numeric entries can be done through touch key pad and multiple item groups and products can be configured.

Override Log-in Facility

ACTUARY RMS Software provides Override login for POS operations. Supervisor can login to perform Operations for which cashier is not authorized. When supervisor logs out, the previous login is automatically restored.

Tax Management & Reporting

With comprehensive tax management facility, input Tax during purchases and output tax from sales is recorded. Tax can be configured for all transactions of a shop or for each product separately.

Discounts & Promotions Management

With a powerful discount management discounts are automatically applied while making invoices. Various types of discounts can be applied to selected or all products & to selected or all shops.

Supplier Management Module

An integrated vendor module enables the users to manage vendors and their accounts. Also there is a provision for direct purchases and consignment purchases. Vendor ledgers & supplier performance reporting are available.

Customer and Supplier Ledgers

Customer and Supplier ledgers can simply be maintained in ACTUARY RMS Software. When stock is received on credit or returned, supplier ledgers are updated in the system. Similarly, ledgers are maintained for credit customers.

Physical Audits and Stock Takes

ACTUARY RMS Software allows to carryout stock take of every “Rack” or “Cabinet” separately. Stock take can be done both manually and with barcode reader; the process does not require mandatory freezing of operations.

Manual & Automated Purchase Order Generation

ACTUARY RMS Software provides the facility to generate purchase orders for the suppliers. Purchase orders can be generated manually or using system support. You can make purchase orders mandatory or keep them optional.
